GENERAL TERMS AND CONDITIONS
Please read this information carefully, as payment of a $200 deposit per person represents your acceptance of the following Terms and Conditions.
Not Included in Symposium Price
Transportation by air or otherwise to arrive at the Symposium starting point at the hotel, and from the Symposium ending point is not included. Hotel parking is not included. Local parking suggestions will be provided prior to the trip.
Gratuities to your Alabama Civil Rights Tourism Association (ACRTA) Study Leader, which are at your discretion (suggested gratuities: $10-$15 per traveler, per day) and Driver Gratuities $5 per day are not included and should be extended on a voluntary, individual basis.
Hotel Rooms Before or After Symposium – To start the trip relaxed and refreshed, many guests prefer to make hotel arrangements before their Symposium begins. As a service, we will make hotel reservations before or after your trip on a space available basis upon written request. Hotel charges will be added to your Symposium cost. Airport transfers are not included for these bookings; ask for details when booking.
Personal expenses such as phone calls, porterage, room service, alcoholic and bar beverages, meals other than those specified as included in the itinerary, laundry, airline excess luggage charges, and other optional incidental extras are not included.
Optional sightseeing is not included.
Travel protection insurance is recommended but is not included in the Symposium cost.
Luggage Responsibility
Although every effort is made to handle guests’ luggage carefully, we cannot be responsible, assume liability or accept claims for loss or damage to luggage and personal effects due to breakage, theft, or fair wear and tear through hotel, airline and group carrier handling. It is important to have adequate insurance to cover these eventualities.
Itinerary Changes & Price Flexibility
We pledge to make every effort to operate all tours as advertised. We reserve the right to alter or curtail the itinerary, or substitute sightseeing, guides, speakers, hotels, and / or conveyances as deemed necessary. Any savings realized by these changes will be refunded to passengers. Any resultant added expense will be covered by the Association.
How To Make A Reservation
To Make a Reservation, book directly on our website Symposium on the Civil Rights Movement email us at symposium@civilrightstourism.org or phone us at 334-372-3132. Your place is not reserved until payment means are provided for the deposit.
Payments
Upon receipt of your deposit payment either online, or by phone, your credit card will be charged. The balance of $1799 per person enrolled in a double room, or $2439 per person enrolled in a single room, will be automatically charged to the credit card used for the deposit, unless we are notified and payment is made in advance by an alternate credit card.
Cancellations, Refunds, and Changes
If you must cancel your trip, the effective date of cancellation will be upon Alabama Civil Rights Tourism Association’s receipt of your notification in writing. Refunds for cancellations are subject to the following per person charges: cancel 90 days or more before departure: $200 charge; cancel 89-65 days before departure: 25% of tour price; cancel 64-45 days before departure: 50% of tour price; cancel 44-30 days before departure: 75% of tour price; cancel 29-0 days before departure: no refund. If you make any changes to your reservation from 90 to 30 days prior to departure, Alabama Civil Rights Tourism Association will apply a $100 per person administrative fee, in addition to any fees or penalties imposed by third parties. Changes are subject to availability and cannot be guaranteed. If your reservation changes from double occupancy to single occupancy, for any reason, you will be charged the single supplement. We understand life occurrences. Your paid slot is transferable to your designee up to the day of arrival.
Responsibility
The liability of Alabama Civil Rights Tourism Association as tour operator, is strictly limited. Alabama Civil Rights Tourism Association purchase of transportation, hotel accommodations, restaurant and other services from independent suppliers are not under our control. We serve only as a partner for these suppliers in securing tour arrangements, and therefore will not accept responsibility for wrongful, negligent, or arbitrary acts or omissions of these independent contractors, or of their employees, agents, servants, or representatives. Alabama Civil Rights Tourism Association are not liable for injury, damage, loss, accident, or delay that may be caused by events not within our control, including, without limitation, acts of terrorism, war, strikes, the defect of any vehicle, or the negligence or default of any third party. All coupons, receipts, and tickets issued are subject to the terms and conditions specified by the air carriers, cruise lines, and other independent suppliers. We will make every effort to operate our tours as planned, but we reserve the right to make itinerary changes as necessary. If unforeseen circumstances require us to change a hotel, we will select alternative accommodations of the same or better quality.
Health and Medical Issues
We request that you be in good health to participate in this Alabama Civil Rights Tourism Association tour. There is a reasonable amount of walking, and you must be able to get on and off motorcoaches on your own. We regret that we cannot offer individual assistance; in such cases you must be accompanied by a companion who will assist you. Please note that many of our tour itineraries, for reasons beyond our control, do not accommodate wheelchairs. Please call or e-mail us to inquire and we will do our best to answer any questions you may have. We reserve the right to remove anyone whose physical or mental condition, in our opinion, compromises the operation of the tour or detracts from the enjoyment or safety of the other passengers. In that event, Alabama Civil Rights Tourism Association assumes no financial responsibility for any unused portion of the tour.
